WORKFLOW EXPECTATIONS

HERE'S HOW WE WORK

ONBOARDING

Fill out our onboarding form 24 business hours prior to your onboarding call.

During your onboarding call, we will make sure your ad account is connected properly to our agency, we'll make sure we have all the passwords needed to install the Meta pixel, CAPI, and track conversions properly.

We'll review your goals, offers, and create an ad strategy for your first campaign.

UNLIMITED AD CAMPAIGNS

You can request new ad campaigns for any offer at any time using our campaign request form.

We will create the ad strategy, ad copy, and ad images within 5 business days (excluding weekends, federal holidays, or team vacations).

We'll manage all the setup and optimization for all your ad campaigns.

OPTIONAL Video ads SCRIPTS

If you select the option to also record videos for your ads in your campaign request, we will add video scripts for you.

These will be sent to you with the ad copy and ad images. You will then record the videos and send them to us via our collaboration form.

To avoid any delays, we will launch your ads with the ad images we created while we wait for your videos.

Monthly Reports

Every month, we'll create an ad report letting you know your results from the previous month.

This will include leads, sales, return on ad spend, best ad copy, best ad creative, targeting, and more.

We'll share what's working and what needs to be improved, along with any next steps we are taking to increase your return on ad spend.

OPTIONAL Ad Strategy Calls

Whether you are requesting an ad campaign for a new offer, you are planning a launch, or you just need further support, you can book a 30-minute ad strategy call with us.

We as that you book these AFTER submitting your campaign request form.

*If you do not submit your campaign request form 24 hours before your call, you will need to reschedule it.

This will help us prepare a preliminary strategy to best support you.

On-demand FUNNEL AUDITs

When you are onboarded we'll provide a funnel audit for your first campaign. Once your ads are up and running, you can request on-demand funnel audits after 100 leads have gone through your funnel.

When you request a funnel audit, within 48 business hours, we'll send over strategic recommendations to improve your conversion rate and increase your average order value.

While we don't provide website design, we will share design, messaging, and copy suggestions for your sales pages, landing pages, and checkout.

We'll review your offers and suggest order bumps, upsells, and downsells you can add to your checkout process to increase the conversion value per customer.

RECEIVE new ad creative in 5 business days

To help us streamline our creative process we’ve created a simple form with everything we need to start working on the ads for your next campaign.

You'll provide final links, and all the important details we need with your request to eliminate unnecessary back-and-forth.

This helps us save you time, ensuring a faster turnaround while avoiding any key information slipping through the cracks.

We’ll send the ad creative over to you within 5 business days so you can review it and provide feedback.

IMPORTANT: Please know that if your brand requires final approval for ad copy or ad images, you will need to submit pre-approved assets with your campaign request. If you do not provide pre-approved assets, your feedback during the review process will be considered your final approval.

PROVIDE Feedback & review AD CREATIVE IN 48 business hours

We'll send you an email letting you know your ads are ready for review!

To provide feedback, here's how:

→ Via the Ad Campaign Feedback form, the following business day. This gives you 48 business hours to review, take in, and think about the work we presented.

→ Via a single, bulleted list. This allows us to work through the list quickly (instead of receiving 10 pieces of feedback via 10 different forms)

What kind of feedback?

→ Which ads do you love and why? This will help us improve our ad creative and make more of those for the following campaigns!

→ Specific feedback on what’s not working and why

→ Questions are welcome! Feedback doesn’t have to be change requests...it can also be questions you’ve got about decisions I’ve made.

→ Please know that if your brand requires final approval for ad copy or ad images, your feedback is considered your final approval. Otherwise you will need to submit pre-approved assets with your campaign request.

CAMPAIGN SETUP in 48 business hours

Once we receive your feedback form, we will review your notes and make strategic updates while keeping your feedback in mind.

We go through a Quality Assurance process twice:

1. After the feedback has been applied and the ads are ready to be scheduled

2. After the ads are uploaded to the Ads Manager.

We'll schedule the ads to go live according to your campaign schedule.

For evergreen campaigns we schedule ads to go live by the following morning to maximize the daily budget.

For live launches we schedule the ads to go live by the start date you've selected.

We will send you an email letting you know your ads are scheduled to go live with a link to preview your ad and a final copy of the revised ad creative.

IMPORTANT: To avoid any bottlenecks, if we don't receive any feedback within 48 hours, your ads will be scheduled to go live the following day.

EVERGREEN CAMPAIGNS

For evergreen campaigns, we will continue to create new ad creatives for you to review as needed to avoid ad fatigue, increase conversions, or scale your ad spend to reach new revenue goals.

We aim to create new ad creative monthly for this type of campaign; however, if we see that your campaign is performing really well, we will keep it running as long as it's producing a good return on ad spend.

AD CAMPAIGN TYPES


Your first campaign request will be through your onboarding form, after that, you can request new campaigns through our campaign request form.


Here are the type of campaigns you can request.

Lead Ads for an Evergreen Email Funnel

For group programs between $997 and $3000, you can run lead campaigns to your webinar/email funnel.

We recommend a 3-5 day funnel with a limited time offer for people who join within the first 72 hours. For ad spend budget we recommend a starting budget of $50/day, and then based on your conversion rate and cost per lead, adjust the budget to achieve your monthly sales goals.

Live Launch Ads for a group program or event

For live events like summits, challenges, webinars, conferences, retreats, or group programs & masterminds that are launched live quarterly, you can run:

1. Lead campaigns for your live event

2. Open cart retargeting ads to your offer once the doors to your warm audience.

Due to the delay in reporting from the recent iOS14 updates we recommend submitting your info as soon as possible so we have enough time to test your ads.

We recommend starting your ads 4 weeks before the event, which means we’ll need your campaign request 6 weeks before the event starts.

This ensures we have at least 1-2 weeks to create, review, launch, and optimize your ads before your live event starts.

Applications/Sales Calls Ads for a VSL Funnel

For high-ticket offers that require an application or sales call for people to join, you can run lead and sales calls ads to your VSL funnel.

We'll start by testing lead ads to your VSL, so we can get as many interested leads into your email list and then redirect them to watch your VSL and book a call. 

We recommend adding qualifying questions to your opt-in to make sure only qualified leads sign up and book a call. 

Then we'll optimize your ads for qualified calls scheduled.

We recommend a budget of $100/day to get the best results from this strategy.

Sales Ads for a Low-Ticket Offer

For low-ticket offers ($7-$97), you can run sales campaigns to send cold traffic straight to your sales page.

We recommend optimizing the sales page and checkout process with order bumps and upsells to increase your conversion rate, average order value, and have a higher ROAS.

For sales campaigns, the recommended budget is a minimum of $50/day. As we collect sales data from your ads, we will be able to determine a baseline cost per acquisition and adjust your budget to your goals. As a rule of thumb, we want to aim for at least 7 sales a day to optimize the ads for more buyers.

AGENCY POLICIES

BUSINESS HOURS

Our business hours are from Monday to Friday, from 10 am to 5 pm Pacific time, excluding weekends, federal holidays, and team vacations.

We respond to any emails within 24-48 business hours.

COMMUNICATION

The only way to communicate with us is via email. Please do not reach out to us via any other platforms. Please email us at [email protected]  for all support needs.

PAYMENT

We do not offer refunds or pauses under any circumstances.

If you are on a monthly payment plan, you can update your billing method here

If your payment fails, we expect you to update your billing method immediately.

We will not complete any work without payment, and late payments will result in late work. After 3 failed rebills, you'll be automatically removed from the agency.

The Holistic Ads is a 3-month retainer to which you can pay in full for $3000 or 3 monthly payments of $1000.

Every 3 months, you will be invited to re-sign.

If you are on a payment plan and you decide to re-sign for another 3 months, you will be automatically enrolled at the monthly level.

If you decide not to re-sign, you will need to send us a 30-day notice via email.

FEEDBACK & REVIEWS

Your feedback helps us to make sure the ads we create match your brand and voice. 

IMPORTANT: To avoid any bottlenecks, if we don't receive any feedback within 1 business day, your ads will be scheduled to go live the following day without any revisions. 

If your brand requires final approval for ad copy or ad images, you have 2 options:

Option 1: You will need to submit pre-approved assets with your campaign request.

Option 2: We will create ad copy and ad images for you within 5 business days of your request. You will be responsible for providing your final approved feedback using our review form process within 1 business day to avoid delays. If we do not receive feedback, the ads will go live the following day without any revisions.

ADS MANAGER

Our policy is that clients refrain from creating, editing, or launching ads directly in Ads Manager – we simply ask that all campaigns be requested via our agency to avoid issues.

This helps us avoid audience overlap from competing ads, prevent budget waste from unoptimized bids, and stay compliant. 

That's why we've included campaign priority options in our campaign requests form.  You'll be able to choose between our standard 5 business day turnaround time or SOS for 24-48 hour requests.

SOS requests are reserved for time-sensitive, urgent campaigns that need to go live within 24 business hrs (e.g., live promos, flash sales, launches). Your retainer includes 1 SOS request/month. When requesting an SOS campaign, you will need to include the ad copy and graphics for us to use.

BOOK YOUR ONBOARDING CALL

Grab a time from our calendar for our kick-off call. These calls are usually 60 minutes long, but I like to give us extra time if needed. 

Please fill out your onboarding form at least 24 business hours before our call. If you don't have your onboarding form filled out in time, we will need to reschedule your call.
